BF Group provides tax preparation, bookkeeping, forms preparation, business formation and insurance services. This policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to our website, bfgroupusa.com, and to the services we provide.
Information we collect
Depending on the service:
- Contact details: name, email, phone number and mailing address.
- Identification: Alien Registration Number (A-Number), Social Security number, ITIN or EIN, date of birth, and copies of identification documents.
- Tax and financial information: W-2s, 1099s, bank and card statements, income and expense records, prior returns, and information about your dependents.
- Business information: company name, owners and members, formation documents and accounting records.
- Insurance information: household members, income, and the personal or health details needed to quote and apply for coverage. We treat health information as confidential and protect it under the privacy and security standards that apply to insurance agents, including those of the insurance carriers we work with and of the Health Insurance Marketplace.
When you visit our website, our hosting provider and services that deliver the site, such as Google Fonts, may receive technical data like your IP address and browser type. Our website does not set advertising or tracking cookies of its own.
How we use your information
To prepare and file your tax returns; keep your books and prepare financial reports; form and maintain your company; quote, apply for and service insurance coverage; communicate with you and schedule appointments; verify your identity, prevent fraud and meet our legal and professional obligations.
Tax return information
Federal law (Internal Revenue Code section 7216) restricts how tax preparers use and disclose tax return information. We use it only to prepare and file your returns and provide the services you requested. We do not use or share it for any other purpose without your written consent, except as the law allows or requires.
Use of artificial intelligence
We do not enter your Social Security number, tax return information or immigration documents into public or consumer AI tools, and we do not share your tax return information with any AI service without your written consent, as required by Internal Revenue Code section 7216. Any technology we use is reviewed by our team, and we remain fully responsible for every return and form we prepare, as IRS rules for tax professionals require. We never use AI to create or alter documents or evidence. Every answer on a form is checked against your documents and confirmed by you before filing.
How we share information
We do not sell your personal information. We share it only:
- with government agencies when you ask us to file on your behalf, such as the IRS, USCIS, state tax agencies, state business registries and FinCEN;
- with insurance carriers and health insurance marketplaces, when you ask us to quote or apply for coverage;
- with service providers that help us do our work, such as tax and accounting software (for example QuickBooks Online), secure document storage, e-signature, email and payment processors, which may use it only to provide their services to us;
- when required by law, court order or a government request.
How we protect your information
We use administrative, technical and physical safeguards designed to protect your information, and limit access to people who need it to do their work. No system is completely secure. Please do not send Social Security numbers or full account numbers through regular email or social media messages, and ask us how to send documents securely.
How long we keep it
We keep client records and documents for up to seven (7) years, in line with standard record retention practices and legal requirements, and then delete or destroy them securely.
Your choices
You may ask to see, correct or update your information. You may also ask us to delete it, unless we must keep it to meet legal or professional obligations. And you may opt out of non-essential messages at any time.
Other sites and apps
Our website links to WhatsApp, Instagram, Gmail and Outlook. Their own privacy policies apply when you use them.
Children
Our website and services are not directed to children under 13. We receive information about minors only when a parent or guardian provides it, for example to claim dependents.
Changes
We may update this policy. The date at the top shows the current version.
